What AI Notetakers Do Well

Credit where it is due: this category earned its adoption. A bot joins your Zoom, Teams, or Meet call, and a few minutes after you hang up there is a transcript, a summary, and a list of action items you did not have to write. That is real value, delivered with almost zero effort.

The pricing is hard to argue with. Otter's Basic plan is free, Pro is $8.33 per user per month billed annually, and Business is $19.99, per otter.ai as of July 2026. Fireflies has a free plan, Pro at $10 per seat per month billed annually, Business at $19, and Enterprise at $39, per fireflies.ai as of July 2026. Fathom offers a free-forever plan, Premium at $16 per month billed annually, and Business at $25 per user, per fathom.ai as of July 2026. For pure capture, that band is cheap.

And the summaries are good. Action items get captured, decisions get documented, and the searchable archive means "what did they say about budget?" has an answer without re-listening to an hour of audio. For internal syncs, standups, and all-hands, a notetaker is often exactly the right tool.

Where AI Notetakers Stop

A notetaker captures words and stops there. There is no rubric behind the summary, no score against your team's methodology, and no next move for the rep. The output describes the call; it does not judge it. That is why a generic summary reads the same for a great call and a terrible one: both produce a tidy list of topics and action items, and neither tells a manager which rep needs work on what.
